How do I enroll participants from an old activity into a new activity? [Program Specialist instructions]

These instructions are intended for Moses/Weitzman Health System employees only.

Scenario: 

You are a Program Specialist and looking to enroll learners from a previous activity into a new activity. This is your very last step in creating your new activity, so your activity should be QA'ed and published. 

Step-by-Step Instructions:

You're first going to go to your old activity and download the participant list. To do so:
  1. Navigate to your previous activity
  2. Select the Enrollments tab
  3. Scroll down to the bottom of the page and download the participant list
  4. Keep the Excel file open. We'll come back to it. 

Next, you're going to establish an External Course ID within the new parent activity. To do so:
  1. Navigate to your new parent activity
  2. Select the Edit tab
  3. Go to the Course Settings tab and then the Course Settings subtab
  4. Scroll about halfway down to the External course ID field
  5. Enter a short course ID - no rules, it's up to you! (ex. KEY2023 for Key Populations ECHO)
  6. Select Save

Within the new parent activity, now go to the Enrollments tab and then Import subtab.

Under the Import header, select the "Download a template" link. An Excel file will download and open.

Copy Column B and C (username and email) from the participant list from your old activity.

Now, go to the template Excel file and copy the participant info into columns B and C (external_user_id and external_email)

Enter the External Course ID in Column A that you previously established. As a hint, enter the ID within the first two rows and then fill down by double clicking the bottom right-hand corner of the cell.

Save the file. You can keep the name of the file as is. The name of the file does not matter. 

Navigate back to the platform where you should still be on the Enrollments tab > Import subtab. 

  1. Upload your file
  2. Check off "Assign records immediately"
  3. Select Import

Your participants will now be automatically imported into your new activity and they will receive a confirmation email.
